FY11 Roster and Arts on Tour Program Frequently Asked Questions

Is there a timeline for the Roster and Arts on Tour programs?

Yes. The Kansas Arts Commission follows the state's fiscal year calendar: July 1 through June 30. Please refer to the program timeline for more information.

What significant changes have been made to the Roster application process in the last three years?

Roster artists are now required to submit video work samples of all types of programs offered, including performances, workshops and exhibitions. This cna be done by way of DVD or online through any public video source (i.e., YouTube).

What significant changes have been made to the Arts on Tour grant program in the last three years?

The only significant change is that organizations can no longer apply for funding under the auspices of a DBA (Doing Business As) entity.

How much and what artist fees are underwritten by the Kansas Arts Commission through the Arts on Tour grant program?

Kansas Arts on Tour presenters may apply for a total of $7,500 for one or more artists bookings listed in the Kansas Arts Commission Roster. The Kansas Arts Commission underwrites 40% of the total contractual fees for roster artists bookings. Presenters must provide 60% of the artists' contractual fee(s) as a match for the grant.

Who pays the artist?

The presenter. All artist contracts are negotiated between the presenter and the artist. All Arts on Tour program grant obligations are maintained between the presenter and the Kansas Arts Commission.

What happens if underwriting is not available through the Kansas Arts Commission?

The Arts on Tour grant program is a first-come, first-served program. Once all funds allocated to that program are utilized, a waiting list is maintained in the unlikely event that additional funds become available or funds are returned to the Kansas Arts Commission. Artists are encouraged to include a reasonable cancellation clause in their contracts with presenters which releases both artist and presenter from all contractual obligations should funds not be available.

Can a booking be rescheduled for another date or time?

Yes. The only restriction in this regard is that the rescheduled booking must take place during the fiscal year the funding has been granted. The presenter is responsible for informing the Kansas Arts Commission of changes to the booking schedule.

Does rescheduling a booking effect grant funding?

No. As long as the booking occurs during the fiscal year the funding was granted, the funding is not effected.

What is the next step if a booking is cancelled?

First, the presenter is responsible for notifying the Kansas Arts Commission of the change in plans. Second, the presenter can book another roster artist to fill the scheduling gap. If no other roster artist will fit the presenter's needs, then any unused funding must be returned to the Kansas Arts Commission.

Can roster artists have contracts with other presenters that are not applying for a Kansas Arts Commission grant?

Yes! Roster artists are encouraged to work as much as they can. The only caveat is that when they offer their roster programming to others, the fees must reflect those listed on the Kansas Arts Commission roster.

Do roster artists have to offer all of their work through the roster?

No. Roster artists are encouraged to create that which inspires them and pursue bookings for all their work. The roster is meant to be simply be another means of promotion for the work the artist believes will have wide spread appeal.

When do artists renew their appointment to the Kansas Arts Commission roster?

Roster artists reapply during the second year of their three-year term. Contact the commission staff for more information.
